Responsibilities

Related Southeast is seeking a Commercial Lease Analyst to join their West Palm Beach team. The Commercial Lease Analyst function is responsible for ensuring the quality and integrity of the data of each lease managed in their portfolio in a Property Management system adhering to the Standard Operating Procedures of the department approved by ownership and management. The Commercial Lease Analyst reports directly to the Commercial Lease Manager and works closely with the Director of Lease Management. The Commercial Lease Analyst also works directly with ownership and management to provide accurate lease information in a timely manner to improve the focus and direction of the business.

Key Responsibilities

  • Handling a portfolio of mixed-use properties (Retail & Office)
  • Abstract all leases and lease related documents and enter them into a Property Management System
  • Upload documents into Prophia and assist with on clearing lease related questions from the Prophia team
  • Serves as a gatekeeper of the data in the Property Management System to ensure the data integrity of that system
  • Ensure that all lease-related transactions; monthly rent, insurance and common area charges are reviewed and properly recorded
  • Prepare and bill Real Estate Taxes and Common Area Maintenance reconciliations
  • Prepare & track invoicing for tenant utility consumption and other regular charges in the Property Management System
  • Prepare and review commercial Tenant income and expense sections of the budget
  • Print, review and send to tenant monthly billings and invoices. Coordinate, review and prepare miscellaneous invoices for tenants in conjunction with AR and operations
  • Review, analyze and document accounts receivable issues between landlord and tenant. Contact tenants for corrections, adjustments and payments
  • Prepare and analyze list of delinquent tenants for ownership and operations.
  • Prepare and handle lease correspondence (critical dates letters, default notices, lease notices, violations and collections)
  • Prepare and review estoppel certificates
  • Track critical dates as it relates to the lease related clauses and landlord deadlines
  • Assist with lease interpretations as relative to tenant issues
  • Ensure compliance with department Standard Operating Procedures and Process Narratives
  • Prepare and provide financial analysis & critical reports for management and owners
  • Perform other projects and tasks as required

Compensation

  • $70,000 - $90,000 / year
  • Annual performance-based bonus

Education and Professional Qualifications

  • Four Year degree in Business, Accounting, Finance or Paralegal Certificate
  • 5+ years of experience in Commercial / Retail or Commercial Lease Administration
