Job Description
We are seeking a Department Administrative Assistant to support our Tax, Trust, and Estates department in our Minneapolis department. As a valued team member, you will provide a broad range of administrative support to the department. Do you deftly handle multiple tasks? This position will be on-site and work hours are 8:15 a.m. - 5:00 p.m. Monday through Friday.

Responsibilities Include:

- Perform electronic email and document filing in Microsoft Outlook and document management system.
- Document styling, conversions, revisions and comparisons.
- Prepare expense reports, process vendor invoices, and process check requests.
- Manage Outlook calendars.
- Schedule meetings, reserve, and prepare conference rooms, order lunches as needed.
- Perform mailings and scanning projects.
- Prepare binders and hardcopy files.
- Maintain physical record files.
- File and distribute correspondence.
- Assist with time entry review.
- Make travel arrangements.
- Manage CLE files.
- Provide occasional backup for Client Services personnel.
- May be asked to perform other duties as requested.

What we're looking for:

- High School diploma or G.E.D. equivalent.
- Accurate typing skills of 40 wpm.
- Strong word processing skills.
- Good communication skills, both verbal and written.
- Ability to communicate effectively with all levels of personnel.
- Strong customer service focus and skills.
- Ability to handle multiple tasks at one time and perform well in stressful situations.
- Ability to use good judgment in solving problems and resolving conflict.
- Flexibility with schedule (overtime may be required).
- Excellent attendance.
- Ability to work in-office from 8:15 a.m. to 5:00 p.m. Monday through Friday.
- Previous law firm experience and strong knowledge of Microsoft Word Table of Contents and Table of Authorities (preferred).
