Job Summary:

As an Administrative Specialist, you will perform front desk functions for the Metro offices and provide support for the State Center Mail Room and Print Shop.

Some of the job functions include:

  • Answer main call center phone in a professional manner and direct calls appropriately.
  • Respond to requests for information about program services.
  • Greet clients and visitors; direct them to appropriate Lines of Service.
  • Processing incoming mail, packages (US Mail, UPS, FedEx, DHL).
  • Reserving conference rooms for internal/external groups; coordinate needs with maintenance and IT.
  • Maintain and update phone list, front desk manual, and various front desk related documents.

Job Requirements:

  • High School diploma (or equivalent GED).
  • Two-year relevant experience (administrative office setting) strongly preferred.
  • Typing skills are required.
  • Business office and computer training received at a vocational school are preferred.
  • Incumbent routinely faces fluctuating demands on his/her time requiring the application of time management, organizational and problem-solving skills.
  • Incumbent applies knowledge of routine administrative or secretarial support (i.e. typing, data entry).
  • Incumbent may apply creativity and problem-solving skills when responding to client inquiries or inquiries from the general public.
  • Incumbent applies knowledge of office and administrative procedures basic math, and bookkeeping.
  • Incumbent must apply basic problem-solving methods when responding to inquiries about organizational services from persons who are confused, angry, or in crisis.
  • Must have diplomacy and tact when confronted with inquiries.
