Job Description

Reporting to the Executive Coordinator for the Office of Academic Affairs, the Office Assistant supports a wide range of administrative activities for the Academic Affairs team.

Responsibilities & Essential Functions:

  • Serve as front-line customer service representative including interacting with students, guests, and visitors and directing/redirecting issues and concerns as appropriate.  
  • Assist the Executive Coordinator in supporting the Vice President for Academic Affairs in the development and management of Academic Affairs initiatives and projects, events and activities, and the dissemination of unit and campus-wide communications and information. 
  • Assist in the coordination and participation in Academic Affairs-related meetings and events as required, including the preparation of agendas, materials, and logistical arrangements. 
  • Answer phones, log messages and direct calls to the appropriate department or individual. 
  • Field and redirect complex problems/issues/ complaints to appropriate Academic Affairs staff members and assist in resolution and troubleshooting, using discretion in handling confidential matters and documents. 
  • Process space use request forms for all Schools in the Academic Affairs division. 
  • Process vendor payments and maintain tracking and ordering of office supplies by utilizing the College's internal  account system to include collection and compilation of receipts, vouchers, and expense reports for processing.  
  • Organize and prepare interview packets for faculty searches. 
  • In collaboration with the Executive Coordinator, participate in the development and implementation of process  improvements and interoffice system enhancements.

REQUIREMENTS:

Minimum Qualifications:

  • Associate's degree required. 
  • 2 - 4 years of appropriate business experience.

Preferred Qualifications:

  • Bachelor's degree preferred.

Knowledge, Skills, & Abilities:

  • Proficient in Microsoft Word and Excel.
  • Proficient with Google Workspace.
  • Experience with Smartsheet.
  • Experience with Banner and Finance Enterprise.
  • Excellent customer service skills.
  • Effective verbal, written and interpersonal skills. 
  • Demonstrated ability to use a high level of discretion, confidentiality, professionalism and customer service skills.
  • Strong organizational and time management skills.
  • Ability to take initiative, use sound judgment, and work effectively and professionally with varying levels of staff and constituents. 
  • Ability to support emerging and concurrent priorities, ongoing projects and activities, and demanding deadlines. Ability to assist in organizing, implementing and monitoring office/administrative procedures and systems. 
  • Ability to assist in conducting confidential and analytical research and synthesizing findings and results for compilation and reporting purposes. 
  • Ability to display detailed-driven focus.

 


ADDITIONAL INFORMATION:

Salary 

Salary Range: $34.88 - $37.33 per hour; commensurate with experience and qualifications.

The UCE-FIT Collective Bargaining Agreement (CBA) dictates the compensation, benefits, and conditions of employment. Hiring Rate: $34.88 - $37.33 per hour with step increments per Salary Schedule 90, after 18 months of service and annually thereafter.

Work Schedule

Days/Hours: M-F, 25 hours per week, in person; work schedule subject to change based on needs of the department.
