Job Description
We are seeking a Marketing Operations Assistant in our Minneapolis office to provide administrative, day-to-day support to the Marketing & Business Development ("MBD") team on various marketing and BD initiatives. The ideal candidate is a service-oriented team player with strong interpersonal skills, attention to detail, excellent oral and written communications skills, and a proven track record for successfully coordinating multiple projects. This position will require being on-site in our Minneapolis office four days a week, with the option for a hybrid schedule one day a week.

In this role, you will:

- Assist the Marketing and Business Development (MBD) team with logistics for select firm sponsorships and galas, including ensuring that paperwork is completed and processed (payment, ads and logos, etc.), assist with identifying invitees, follow up post-event to maximize benefits, and other related duties.
- Support Professional Development and MBD team members in marketing budget administrative duties, including:
- Assist in the coordination of the lawyer activity approval process firmwide, including monitoring the Approvals inbox, reviewing and processing all approval and other requests, and maintaining a master Approvals chart.
- Assist in the researching, coding, and approving of firmwide payment requests and expense reimbursements relating to marketing and business development.
- Assist in the preparation of monthly budget reports and analysis.
- Process vendor invoices, check requests, and credit card receipts and communicate with members of the Finance Department.
- Assist MBD team with client gifting, including researching gift options, ordering, assembling, and shipping, and submitting all relevant paperwork for delivery and payment of gifts.
- Process incoming orders, maintain inventory of all existing items, and assist in researching new promotional items in the Firm's "store" for promotional items.
- Provide administrative support to MBD team, including setting up meetings, booking conference rooms and travel, copying meeting materials and other general assistance to the MBD team.
- May perform other duties not listed above.

What we're looking for:

- High School diploma or G.E.D. equivalent.
- At least one year of related experience.
- Strong organizational skills and attention to detail.
- Ability to manage multiple tasks/projects at one time and meet deadlines under time constraints.
- Ability to work both independently and as part of a team.
- Strong oral and written communication skills with the ability to communicate effectively with all levels of personnel.
- Excellent interpersonal skills and professional demeanor.
- Proficiency with Microsoft Office (Word, PowerPoint, Outlook, Excel).
