What is the opportunity?

Serve as the Executive Assistant to Chief Compliance Officers of the U.S. Wealth Management division in the day-to-day management of the department proactively providing effective administrative support to the Compliance department, including Compliance Directors, Managers, and other department members.

What will you do?

  • Act as a key contact for the Chief Compliance Officers (CCOs) that you will be supporting.
  • Manage inboxes and calendars for CCOs to coordinate meeting proposals, action items and delegate inquiries.
  • Exercise discretion, tact and diplomacy in managing and coordinating meeting and work requests.
  • Work closely with Compliance leadership to manage day-to-day priorities aligned to key priorities.
  • Assess priority and urgency of conflicting matters and redirect to staff where appropriate.
  • Lead administrative management of compliance assessments and projects including white paper editing, stylistically formatting, and preparing for final publication.
  • Organize video and in-person meetings, set up and coordinate business planning sessions, townhalls, staff meetings, management meetings and one-on-ones with direct reports.
  • Coordinates event planning (i.e., training, team building and group offsites) including guest speakers, locations and equipment resources.
  • Prepare presentation materials and meeting agendas, as required. Ensure relevant information is accessible, assembled and prepared for meetings.
  • Coordinate travel/hotel arrangements and expense reporting for the department, as needed.
  • Provide thought leadership to adapt the way we work in support of the overall goals of the department and encourage and proactively identify and execute on efficiencies.
  • Assist the department in meeting its financial objectives, including budget preparation and monitoring and analyzing variances.
  • Coordinate onboarding and offboarding of department staff.
  • Support the overall objectives of the Compliance department by providing administrative support in a timely manner.

What do you need to succeed?

Must-have

  • Strong written and oral communication skills
  • Highly proficient in Microsoft Office including Word, PowerPoint, Excel, Outlook
  • Demonstrated organizational skills, with the ability to complete projects on time, with accuracy and making the most effective use of available resources
  • Demonstrated ability to work effectively under pressure and meet prescribed deadlines
  • Self-starter, must work independently with minimal supervision

Nice-to-have

  • 3-5 years of administrative experience
  • Bachelor's degree preferred, but not required
