Summer Program Operations Assistant

The TRIO Upward Bound Vision Quest program (UBVQ) serves 135 students in grades 9-12 at Edison, Roosevelt, South, and Wellstone International High Schools in Minneapolis, and Denfeld High School in Duluth. Our program participants are motivated to successfully complete high school and attend college following their high school graduation. The goal of the annual Upward Bound Vision Quest Summer Program is to provide participants with a college-going experience. Our 2024 Summer Program will run from June 24 - August 2, 2024. Staff training will be during the week of June 10, 2024 and June 17, 2024. Our program is seeking an Operations Assistant to support daily program logistics and operations, work on program publications and social media promotion, and chaperone field trips during the 6-week 2024 Summer Program.

Required: The Summer Program Operations Assistant is expected to attend and assist with programming during the out-of-state Summer Program Trip on week 6 (July 29 - August 2, 2024). The location of this year's trip will be to Wisconsin and Illinois.

Responsibilities:

  • Maintain the 2024 Summer Program Electronic Folder on Google Drive by compiling and organizing necessary attendance lists, flyers, surveys, and other documentation as directed by the UBVQ program leadership team.
  • Help with the maintenance of program organization such as filing documents, digitizing files, and organizing student and program data.
  • Create and update daily attendance sheets.
  • Update weekly student evaluations during the summer program.
  • Aid with the planning and execution of the End of Summer Program Celebration, Summer Program trip, and other events or workshops as needed.
  • Help create a weekly newsletter for UBVQ students and families.
  • Take photos during UBVQ Summer Program activities to be used in weekly newsletters, social media posts, and future program promotional materials.
  • Post to UBVQ Social Media accounts daily to document Summer Program events and activities.
  • Refine the UBVQ website to ensure accurate information about our program.
  • Assist with the Residence Hall check-in/check-out process on Mondays and Fridays during the residential weeks of the Summer Program.
  • Prepare supplies for Summer Program classes and prep program iPads and Chromebooks daily. Ensure that program iPads and Chromebooks are locked and secured at the end of each day.
  • Supervise, guide, mentor, and give direction to high school UBVQ Summer Program participants during the Summer Program.
  • Chaperone students during lunch in the residence hall and enforce the U.S. Department of Agriculture (USDA)'s Summer Food Service Program (SFSP) during lunch.
  • Chaperone field trips and program activities when assigned.
  • Willing and able to chaperone students while riding the bus from the Minneapolis high schools (South and Edison) on Monday mornings, and back to the high schools on Friday afternoons.
  • Prepare reports on student behavior and other incidents on a regular basis.
  • Build rapport and display sensitivity towards high school students and staff from a wide range of socioeconomic and cultural backgrounds.
  • Participate in weekly staff meetings with the UBVQ Director and staff.
  • Participate and complete mandatory staff training in June 2024.
  • Assist with 2024-2025 academic planning, logistics, and recruitment as needed.

Pay Rate:

  • $21/hour
  • The Operations Assistant can expect to work 30-35 hours per week during the Summer Program.
  • The Operations Assistant will be provided daily lunch while supervising students in the dining hall.

2024 UBVQ Summer Program Schedule:

  • June 13, June 20, June 21 - Summer Staff Training (anticipated dates)
  • June 24-28: Week 1
  • July 1-July 3: Week 2 Virtual Programming - Operations Assistants off July 4-5
  • July 8-12: Week 3
  • July 15-19: Week 4
  • July 22-26: Week 5
  • July 29-August 2: Week 6 Summer Program Trip (out-of-state) - Operations Assistants expected to attend

Note:
The Operations Assistant position is Minneapolis-based. Staff must be able to commute to the UMN-TC campus daily.

Qualifications

Minimum Qualifications:

  • Experience working with high school students from various socioeconomic and cultural backgrounds.
  • Experience and/or comfort with giving directions to students and chaperoning students on field trips.
  • Strong organizational skills.
  • Experience posting intriguing content on social media platforms such as Instagram, TikTok, and Facebook.
  • Able to attend mandatory summer staff training during the week of June 10, 2024 and June 17, 2024.
  • Full availability to work from June 24 to August 2, 2024, including the out-of-state Summer Program Trip.
  • Strong communication skills, both in person and through various mediums of technology (e-mail, text, etc.).
  • Per University of Minnesota Safety of Minors policy, applicant must be at least 20 years old upon hiring.

Preferred Qualifications:

  • Valid driver's license and willingness to operate a University vehicle.
  • Familiarity and/or experience with the federal TRIO programs.
  • Experience with website design.
  • Ability to work effectively as a team, and individually.
  • Ability to work with minimal supervision.
  • Bilingual in Somali or Spanish and experience with language interpretation.
  • TRIO UBVQ alum who will be entering their sophomore year of college or above in the fall of 2024 are highly encouraged to apply.
