Job Description:

Responsible for coordinator the portfolio of Trinity-led study abroad programs and advising students for their study abroad experience.

  • Advises, orients and corresponds with students on education abroad opportunities, program selection, application process, enrollment, course selection, academics, finances, travel documents, visa requirements, health and safety policies, and administration matters.

  • Recruits students for Trinity-led programs through the creation of flyers, email blasts, information sessions, presentations, social media posts, as well as promotional events individually or as part of a team. Updates market data as needed. Works with a variety of academic and non-academic departments to promote and facilitate Trinity-led programs.

  • Manages the portfolio of customized Trinity-led programs with the majority of these customized programs being abroad. Supports some domestic customized Trinity-led programs. Assists with handling international emergencies.

  • Works with and advises faculty/staff in the development and implementation of Trinity-led programs according to policy. Corresponds with faculty/staff regarding all aspects of their program(s). Provides guidance to faculty related to budgets and involved costs. Organizes pre-program site visits for program leaders and Trinity guests, as needed. Assists with the development of Trinity policies and guidelines. Coordinates with key departments on campus.

  • Coordinates, arranges and reserves hotels/housing, buses, trains, airfare, classrooms, guest speakers, cultural activities, theater and sporting performances. Works closely with domestic and overseas partners to research and coordinate on-the-ground logistics in host countries. Updates itineraries and calendars. Performs international site visits to institutions, providers, Trinity-led programs. Negotiates with third-party providers and works with Trinity Risk Management to secure program contracts. Coordinates and delivers pre-departure orientations and re-entry programming for students.

  • Coordinates and assists with presentations and associated documentation for a variety of workshops to include health and safety, multicultural skills, etc. Co-coordinates the annual Trinity Study Abroad Fairs and other study abroad events.

ADDITIONAL DUTIES

  • Cooperates and collaborates with other employees in the spirit of teamwork and collegiality and interacts with confidence, patience and integrity to provide professional leadership during emergencies.

  • Complies with all Trinity University policies and guidelines.

  • Attends international education conferences/workshops based on schedule and budget availability.

  • Exercises discretion and judgment concerning routine and confidential matters.

  • Performs other duties as required.

EDUCATION

Required:

  • Bachelor's degree from an accredited institution.

Preferred:

  • Master's degree from an accredited institution in international education or related discipline.

EXPERIENCE

Required:

  • One full-time year of experience in student facing programming and event planning in higher education.

  • Experience in student advising, training, and group travel/logistics.

  • Experience developing or managing programs or projects.

  • Budget management.

  • Social media management.

  • Significant experience living, studying, or working abroad.

Preferred:

  • Three or more full-time years of experience in student facing programming and event planning in higher education.

  • Experience within an international education unit in higher education, particularly in a faculty facing capacity.

  • Terra Dotta software management.

  • Experience designing custom faculty-led study abroad programs.

  • Demonstrated ability working in a fast-paced environment and ability to manage multiple tasks with poise and patience.

  • Demonstrated creative and relevant marketing knowledge.

KNOWLEDGE, SKILLS, AND ABILITIES

Required:

  • Knowledge of world cultures.

  • Knowledge of Google Suite, and Microsoft Office.

  • Knowledge of Adobe Creative Cloud products.

  • Knowledge of office procedures and excellent customer service.

  • Ability to problem solve and think critically.

  • Ability to work both independently and in group settings.

  • Ability to work under pressure and meet deadlines.

  • Evidence of strong communication skills, including writing/editing/formatting abilities.

  • Excellent verbal communication skills.

  • Ability to facilitate and implement students and faculty training, presentations, and study abroad programming.

  • Ability to use time efficiently in a changing work environment.

  • Ability to manage multiple budgets and work within the constraints of those budgets.

  • Ability to maintain effective interpersonal relationships.

  • Ability to travel and navigate internationally.

Preferred:

  • Knowledge of Workday and Canvas.

  • Proven commitment to and appreciation for international education.

  • Ability to articulate issues and trends in international higher education.

  • Ability to assess the performance of Trinity-led programs to make improvements.

  • Ability to follow the Standards of Good Practice for Education Abroad by The Forum on Education Abroad.

  • Foreign language ability.

OTHER REQUIREMENTS

  • All jobs require a current Criminal Background Check (CBC).

  • Expected to be a visible and active member of the University community.

  • This position is not eligible for remote work.

  • Requires occasional evening and weekend hours.

  • May be required to attend/lead domestic and/or international programs sponsored by the Center for International Engagement.

  • May be required to travel domestically or internationally for up to 10 weeks out of the year.

  • May require to be on call for 24/7.
