Job Description

Do you crave a role where your skills directly impact others and the business? We're seeking an Executive Assistant with a keen eye for detail and the ability to anticipate needs before they arise to join our team!

The Executive Assistant plays a critical role on the Egan team and serves as a trusted partner and advisor to the President & CEO - managing schedules, projects, meetings, communication, and information flow.

Responsibilities

  • Calendar & Schedule Management: Manage the President & CEO's calendar, schedule meetings, appointments, and travel arrangements. Ensure timely communication and manage competing priorities.
  • Communication: Act as a primary point of contact, screening and directing calls, emails, and inquiries. Welcome visitors as needed. Assist with facilitating in-person and virtual meetings. Manage incoming information flow and prioritize requests. Compose correspondence, including letters, emails, meeting notes, and presentations, ensuring clear and concise communication.
  • Project Management & Support: Assist with various projects, initiatives, and research. Prepare agendas, reports, and presentations. Coordinate meetings and events and provide project support. Remain closely connected to the business and stay aware of changes and challenges.
  • Travel Management: Arrange comprehensive travel itineraries for the President & CEO, including flights, accommodations, ground transportation, and other travel-related tasks. Manage the Delta SkyMiles account, which may include booking flights for other Egan team members.
  • Team & Office Support: Collaborate with administrative staff and provide support to different business groups and departments as needed. Oversee the daily operations of the executive suite, including office supplies, equipment, and vendor relations. Supervise and delegate tasks to the Project Associate.
  • Confidentiality: Maintain strict confidentiality, discretion, and professionalism in all matters relating to the President & CEO and company business.

Position Requirements

  • High school diploma or equivalent.
  • 5+ years of experience in similar role and supporting senior- or executive-level leadership.
  • Previous supervisory and/or construction industry experience is a plus.

Qualifications

  • Excellent communication and interpersonal skills, with the ability to interact professionally at all levels of the organization
  • Ability to prioritize effectively and manage multiple tasks simultaneously; outstanding organizational and time management skills.
  • Exceptional attention to detail and accuracy.
  • Ability to anticipate challenges before they arise.
  • Experience with executive-level calendar management.
  • Ability to complete complex tasks quickly with little to no guidance and react with appropriate urgency to situations that require a quick turnaround
  • Highly proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Suite applications (Gmail, Calendar, Docs, Sheets, Slides).
  • Ability to write business correspondence clearly and concisely.
